Administrative Assistant
Our client, a prestigious investment management firm, specializes in supporting high-dollar investors through comprehensive strategies in risk management, financial research, valuation, and more. They are currently seeking an Administrative Assistant who will embody the brand's professionalism, managing administrative responsibilities and acting as the firm’s first point of contact for executive-level clients and visitors.
The successful candidate will portray a professional demeanor, offering a welcoming and proficient first impression of the company, while adeptly managing various administrative duties. This individual will be an essential component of the administration team, reporting directly to the Chief Operating Officer.

Focus:
- Act as the face of the company, greeting and assisting visitors with a professional and friendly demeanor.
- Manage VOIP communication technology, handle incoming calls, line transfers, and meeting scheduling.
- Maintain organizational efficiency by overseeing clerical duties, including managing phone calls and mails.
- Coordinate and schedule appointments and meetings, ensuring smooth communication and promptness.
- Uphold office aesthetics, ensuring cleanliness and organization, including maintenance of common areas such as the kitchen.
- Collaborate closely with the larger Administration Team, playing a key role in company operations and client services.
Skill Set:
- 3+ years of administrative assistance experience in an office setting.
- Bachelor’s degree in related field, preferred.
- Demonstrated positive attitude and highly professional when interfacing with high level clients.
- Proficiency in Microsoft applications such as Word, Excel, Outlook, OneDrive, and SharePoint.
- Experience with VOIP systems, a plus.
- Excellent communication, organization, attention to detail, and interpersonal skills.
- Experience managing multiple tasks with changing priorities in a fast-paced environment.
